Job Description

Purpose of Role: To manage the administration and procurement of headoffice and branches, store supplies, repairs and maintenance of headoffice and branch premises, equipment and vehicles, transport, security, mails and courier services, front desk and access to premises, office equipment and resources needs are met.
Key Areas of Responsibilities:

  • Supervision of Administrative and procurement department in general
  • Supervise all maintenance activities and maintain a regular schedule of maintenance for AKHUWAT’s headoffice and branches
  • Automate the monitoring of various activities and contracts (Service/ Maintenance)
  • Provide reports to management on regular basis on the activities managed and cost cutting initiatives.
  • Management (including negotiation) of AMC (Annually maintenance contracts) with vendors
  • Establish the Service Level Agreements SLAs for all service providers and vendors and monitor its compliance.
  • Maintain clean surroundings on daily basis throughout the day
  • Ensure adequate records of assets including motorbikes/organizational vehicles management/movement, and put in place policies/structures to guard against abuse
  • Work with other departments to prepare branch roll out plans for opening new branches of AKHUWAT throughout Pakistan
  • Monitor, supervise and ensure safety measures are incorporated into all AKHUWAT premises
  • Coordination and management of all administrative issues like hygiene, stationeries, & housekeeping
  • Develop and maintain up-to-date, effective security measures to protect the AKHUWAT’s properties and staff
  • Ensure all rents are paid within agreed upon timelines
  • Maximize the best value for money for organization wide procurement activities
  • Deliver all administrative and procurement services in the most efficient manner to facilitate the functions of other departments
  • Ensure that the organization has adequate cover for its fixed assets, against fraud and accidents
  • Manage all protocol assignments of the organization
  • Ensure administration and procurement staff are trained on best practices in their roles
  • Procurement of equipment and other supplies
  • Responsible for the purchasing and organization of supplies for all new branches
  • Management of fuel consumption (generator /office cars /contracts)
  • Cost savings wherever possible by negotiating and identifying proper vendors
  • Signing of purchase orders
  • Preparation of purchase proposals for organization equipment

The successful applicant must meet the following criteria:

  • Hold a Bachelor’s degree in Public Administration/Administrative Sciences from Higher Education Commission (HEC) recognized institute
  • At least 10 years’ working experience in administration with proven knowledge of procurement procedures and processes
  • Experience in analytical thinking and decision making
  • Experience in managing contracts with various vendors and ensuring the SLA is adhered too
  • Excellent computer and negotiation skills
  • Good communication skills (both written and verbal)
  • Self-motivated with the ability to meet project deadlines

Job Description

Key Responsibilities:

  1. Receiving applications from deserving / zakat eligible peoples.
  2. All approved or unapproved application Visit on doorstep with proper verification.
  3. Visit and prepare the case study of deserving peoples within 7 days.
  4. Filling Zakat forms (same day of Visit).
  5. Related documents received and attached with the application.
  6. Case study report of each case will be prepared by zakat officer.
  7. Each case will be verified by sharia advisor of Akhuwat and then forwarded to executive director / chief operating officer for approval.
  8. Cheques prepared by accounts department and zakat officer will dispatch the cheques to beneficiaries.
  9. Month-wise record maintains in excel sheet.
  10. Maintain monthly cases data in soft form.
  11. Maintain dispatch register & log book.
  12. Maintain all the hard data of Zakat in monthly file.
  13. After every quarter, progress report will be prepared by zakat officer and shared with executive director/chief operating officer.
  14. Conducting workshop of zakat scholarship students.
  15. Ration disbursement in the month of Ramadan.

Skill Set: The ideal candidate should be able to understand the process and requirements of Zakat in the light of Islamic shariah.

Educational Qualification:
I.com or Intermediate in humanities/social sciences with a certificate from a religious madrassah registered and approved  by Government of Pakistan
Work Experience:
One year preferable but not mandatory.

Job Description

Key Responsibilities:

  1. Prepare and finalize Annual Internal Audit Plan.
  2. Track and monitor the achievement of the plan.
  3. Delegate, allocate and assign resources to carry out all audit activities.
  4. Advise, supervise and oversee the audit activities carried out by the internal auditors.
  5. Ensure that the audit engagements are conducted according to the Internal Audit manual.
  6. Initiate special/investigation audit as per the requirements of senior management.
  7. Supervise the annual inventory count at the Regional, Area and Branch offices.
  8. Communicate effectively with the Internal Audit team at the Head Office.
  9. Provide training to audit officials on Internal Audit, Compliance and Risk Management.

Educational Qualification:
Certified Internal Auditor OR ACCA OR CA Inter having Masters degree in Finance from HEC recognized university
Experience:
At least eight (8) years of work experience in AUDIT function with three (3) years of work experience as Head of Internal Audit.

  • Communicating job expectations, monitoring, appraising job contributions; recommending compensation actions; adhering to policies and procedures of Akhuwat.
  • Maintains inventory by conducting daily physical counts; reconciling variances; inputting data.
